Review Rules: What Gets a Google Profile Penalized

Reviews move more calls than almost anything else on a Business Profile, so it is tempting to help them along. Some of the most common ways of doing that break Google's rules, and the cost can be much higher than a few lost reviews: removed reviews, a warning on your profile, or limits on what you can do with it.

The rules are simpler than they look. They come down to one idea: a review should be an honest account from a real customer, given freely.

What Google does not allow

  • Fake reviews: written by you, your staff, friends posing as customers, or anyone paid to post them.
  • Reviews in exchange for something: a discount, a free service, entry into a draw or any other reward.
  • Selective asking: inviting only the customers you expect to be happy, or screening people first and sending only the satisfied ones to Google.
  • Conflicts of interest: owners and employees reviewing their own business, or reviewing competitors.
  • Pressure to change or remove a review, including offers to fix a problem only if the review is deleted.

What can happen if you break them

Google removes reviews it detects as fake or incentivised, sometimes many at once, which can drop your rating overnight. It can also restrict a profile from receiving new reviews for a while, and in some cases show a notice to people viewing the profile that fake reviews were removed. Repeated or serious problems can lead to suspension.

The law adds a second layer. In the United States, a federal rule that took effect in late 2024 bans fake reviews and buying reviews, and other countries treat misleading reviews under consumer protection law. A review scheme is a legal risk as well as a Google one.

What you can do, and should

Ask every customer, whatever you think they will say. A short message after the job with your review link, sent to everyone on the same day of the week, keeps it simple and fair. The reviews post covered earlier has wording that works.

Make it easy. Put the review link in your receipts, your WhatsApp follow-up and your email signature. Many customers are willing; they simply never get round to looking for the page.

Reply to reviews, good and bad. A calm, specific reply to a poor review often reassures future customers more than another five-star rating would. If a review breaks Google's own rules, such as a review from someone who was never a customer, report it through the profile rather than arguing in public.

If you have already broken a rule

Stop the practice straight away. If you offered discounts for reviews, end the offer and remove it from signs, receipts and messages. You cannot delete other people's reviews yourself, and trying to replace removed reviews with new ones of the same kind usually makes things worse. Build back with genuine requests to every customer.

FAQ

Can I thank customers who leave a review?

A thank-you reply is fine. A gift or discount for leaving a review is not, even if you would have given it anyway.

Can I ask a happy customer for a review in person?

Yes, as long as you ask every customer the same way. Asking everyone, in person or by message, is allowed.

A competitor left us a fake review. What now?

Flag it from your profile with the reason, keep a calm public reply short, and do not respond with fake reviews of your own.
